ABOUT MAINTENANCE
(Facilities Services)
Year In Review
The Department is committed to meeting the needs
of a vibrant, growing educational community in the areas of operations,
maintenance, grounds, custodial supplies, and consultation on custodial issues.
The following highlights represent some of the
more noteworthy accomplishments of the Maintenance Department during this year
in review.

PERFORMANCE HIGHLIGHTS
-
We have twenty-three fulltime employees in
the Maintenance Department, which includes our four grounds persons.
We have two million square feet of buildings and approximately 300 acres of
grounds. This computes to 105,000 square feet of buildings per
employee to maintain, and 75 acres per grounds person to maintain.

Clyde Joe was selected to be our Custodial
Director, reporting to and working with Sheldon Cieslak, Facilities
Director. Clyde Joe was previously Head Custodian at Flagstaff Middle
School.

Three major roofing projects were completed
at: Cromer Elementary, Sinagua High and Coconino High. Funding
was provided by the School Facilities Board.

Replacement of three Nesbitt rooftop units
that failed - two at Mt. Elden Middle School and one at Flagstaff Middle
School. Funding for this project was provided by the School Facilities
Board.

Carpet and VCT replacement were partially
funded by School Facilities Board.

Extensive indoor Air Quality testing was
conducted.

Leupp School was voted the most improved
elementary school site in the Western Division. What an honor!
Former Superintendent Larry Bramblett was the driving force behind this
accomplishment.
PEOPLE DEVELOPMENT
Throughout the year in review, the Maintenance
Department invested approximately 1,700 staff hours in people development.
Monthly Team Meetings serve to foster camaraderie
and communication among the staff, and to disseminate information. Some of
the topics reviewed in past months include sexual harassment, power tool safety,
elevated work safety, and mechanical equipment operation and maintenance.
Maintenance provides a comprehensive training
program designed to ensure compliance with state and federal regulations.
Educational facilities today face a very real risk of lawsuits and fines
associated with maintaining safety. OSHA penalties range from $1,000 to
$100,000 and can run higher. We try to reduce these risks by providing all
Maintenance and Custodial staff with training that covers the following topics:

Our Job Skills Review
Program consists of a series of instructional videos focusing on
specific work skills such as: hard surface floor care, general
housekeeping, safety, and grounds maintenance. Frequently we use hands-on
methods to reinforce lessons from video training; computer-based training is
designed for either group presentation or an individual, self-rated package.
Personal Development
We strongly encourage our staff to pursue
individual education and training to enhance their skill and improve their
opportunity for growth. During the year in review,
Sheldon Cieslak, Facilities Director, has completed the following training:

awareness, personal protective equipment, lock-out-tag-out, respiratory
protection, and confined space entry

QUALITY ASSESSMENT
Quality assessment tools help us compare promises
with results, and stay on top of projects. This opportunity for feedback
serves as a catalyst for continuous improvement and keeps us focused on our
objectives. We utilize several programs to measure the quality and
effectiveness of our service.
INTERNAL QUALITY MEASURES
In addition to developing people, Maintenance is
committed to pursuing excellence. Quality assurance tools help us compare
promises with results and stay on top of projects. Feedback serves as a
catalyst for continuous improvement and keeps us on track.
Indoor Air Quality
This is a big, big issue. We take a
proactive approach to indoor air quality, from surveying HVAC systems, to
checking roofs and drainage. We do not take this issue lightly. We
respond immediately to all staff complaints.
Principal Meetings
The Team Leaders are instructed to meet with our
principals on a formal basis, monthly. These meetings are designed to
address needs, review progress, and discuss goals.
Our Custodial Director meets with the principals
weekly, in most cases, and on any given day the Director may work specifically
with one to ten of them.
Inspections
Clyde Joe and Sheldon Cieslak perform regular
quality inspections and audit performance. These performance indicators
give valuable feedback to employees and administration, and they encourage those
who perform well. Also, inspections give constructive feedback on those
areas needing more attention.
FUTURE GOALS
While
the previous 12 months have been ones filled with progress and accomplishment,
much remains to be done. The Maintenance Department has some basic goals
for the next 12 months:

Team Cleaning |
We are in the process of experimenting with team
cleaning. So far we have tried it in our year-round schools during their
"intersession", and had excellent results. It also created a
greater sense of "we are all in this together, so let's get it
done". Expect to hear more of this!
Total productive maintenance is a formation of a
partnership between maintenance and custodial staff to improve quality, reduce
expenses, and increase efficiency. We cannot keep doing the same thing,
the same way, over and over again, expecting different results. We need to
change our thinking to change our results.

GROUNDS HIGHLIGHTS
 | Continue to search for labor savings equipment, chemicals,
procedures, and cultural practices |
 | Playgrounds, pesticides, equipment operation, athletic
fields, tripping hazards, proper access, visibility, and reclaimed water
usage are all grounds-related safety concerns that minimize the District's
exposure to liability and ensure the safety of those working and playing on
District grounds |
